B@titude acknowledges the importance of protecting your personal data, the processing of which is governed by the General Data Protection Regulation (the “GDPR”).

1. Your personal data – what is it?
B@titude collects and uses your personal information only with your knowledge and consent. This may include basic personal data such as your name, address, email address and telephone numbers. This may be collected via email, telephone or face-to-face, typically when you ask us to keep in touch with you as a member of our community or as a volunteer, a supporter or if you attend an event or make a donation. We also collect additional information from people who use our counselling service (gender and date of birth) and we occasionally take photographs of our events and activities. Please note that if you make a donation online your payment information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions

2. Who are we?
B@titude is the data controller which means that it decides how your personal data is processed and for what purposes. B@titude is a registered charity (No. 1140398) and limited company (07453984) our address is 205 Kingston Road, Leatherhead, Surrey, KT22 7PB.

3. How do we process your personal data?
We use your personal data for the following purposes:

  • to inform you of news, events and activities;
  • to keep in touch with our supporters;
  • to manage our employees and volunteers;
  • to fundraise and promote the interests of the charity;
  • to process donations (including Gift Aid);
  • to maintain our own accounts and records;
  • to carry out our obligations arising from any contracts entered into by you and us.

B@titude complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

4. What is the legal basis for processing your personal data?
We process your personal data only for the purposes for which you have provided consent.

5. Sharing your personal data
Your personal data will be treated as strictly confidential and will only be used to communicate with you about B@titude. We use MailChimp as a data processor to create and use distribution lists and to send emails to our supporters. Neither B@titude nor MailChimp will share your data with third parties without your consent.

6. How long do we keep your personal data?
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

7. Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:

  • The right to request a copy of the personal data B@titude holds about you;
  • The right to request that B@titude corrects any personal data if it is found to be inaccurate or out of date;
  • The right to request your personal data is erased where it is no longer necessary for B@titdue to retain such data;
  • The right to withdraw your consent at any time;
  • The right to object to the processing of your personal data;
  • The right to lodge a complaint with the Information Commissioners Office.

We will take all reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.
